Calendar

The calendar helps you to keep track of when downloads are due and when cards expire. The details in the calendar are controlled by the download intervals that have been preset for the drivers and vehicles.

Note: Reminders must be activated in order to monitor vehicles and drivers in the calendar. Activation is made on the Settings > Drivers > Download intervals page or on the Settings > Vehicle > Download intervals page.

Details in the calendar

Information about planned and completed downloads is displayed as colour-coded text. Statutory days not worked are also displayed with colour-coding.

Planned downloads are marked as follows:

  • Black text: The download is planned to take place on this date at the latest, according to the download interval set. If a download is marked on a date in the past in this way, this means that the download was scheduled for that date. This doesn’t necessarily mean that the download actually took place on this date.

After a download has taken place it will be marked in different ways depending on whether it took place according to schedule or not:

  • Green text: Download completed on schedule on the date concerned.
  • Red text: Download completed late compared to the download interval on the date concerned.

Statutory days are marked in the following way:

  • Blue text: A statutory day has been reported for the driver for that date.

Information about the expiry dates of driver cards and company cards is displayed in the calendar using icons. The icons are followed by the number of the company card or surname of the driver.

The card is valid for a further 2 months.

The card is valid for a further 1 month.

The card expires today.

Calendar layout

  • Each box in the calendar corresponds to a day. The box shows downloads planned to take place on this date at the latest, according to the download interval set. The box also shows downloads that have been completed. Information is also displayed about expiring driver cards and company cards and statutory days without work.
  • If you want to view information in a larger window for a certain day, click directly in the window. The box is expanded into a pop-up window in which you can see all information about the selected date.
  • If a plus sign is displayed in the box for a date, not all the information fits into the window. Click the box to open a pop-up window in which you can see all information about the date concerned.
  • The week numbering in the calendar complies with European standards and driver legislation in the EU.
  • A new week begins on a Monday and ends on a Sunday.
  • Each monthly view shows 6 weeks. You will therefore see more days than those that fall in the selected month and the same download may be displayed in several views.
  • The calendar shows information from the past 6 months and for the next 6 months.

Select the information that is displayed

The default setting is for information on all vehicles, drivers and driver cards to be displayed. If you wish to change the selection:

  1. Select one or more options from the Vehicle drop-down list.
  2. Select one or more options from the Driver drop-down list.
  3. Select one or more options from the Company card drop-down list.
  4. Select the month to be displayed in the calendar by browsing and clicking >> and << next to the name of the month.
  5. Click Display.

Note: Reminders are not active for vehicles and drivers displayed in grey in the list and they cannot therefore be selected. You can activate reminders on the Settings > Drivers > Download intervals page or on the Settings > Vehicle > Download intervals page.

Add statutory day

NOTE: The possibility to report statutory days is only available for some markets. Working time infringements must also be activated in order to report statutory days.

If you want to report a day not worked for a driver, you do this by reporting a statutory day. Statutory days are days not worked that the driver has a right to take according to the legislation where the reason for the absence is holidays or illness, for example.

The reason why you should report these days is to receive correct average weekly working time and working time per week calculations.

  1. Click the Report statutory day button.
  2. Select the driver that you want to report a statutory day for in the list Driver.
  3. Choose the date that you want to report a statutory day for under Date.
  4. Click Save.
  5. Report any other statutory days.
  6. Click Cancel to close the window.

Remove statutory day

You can remove a statutory day that has been incorrectly reported or that you want to remove due to another reason.

  1. Click on the day in the calendar that you want to remove a statutory day from.
  2. Find the driver that you want to remove the statutory day for.
  3. Click next to the statutory day.
  4. Remove any other statutory days.
  5. Click to close the window.
